Dues
The short answer: hand over totals that tie, the doors still open by name, the next dues date, and the vendor agreements, all in one place the new treasurer can open on day one.
Boards change every year. The books should not change with them. Hand over totals that tie, not totals that almost tie. If the spreadsheet, the bank balance, and the old portal disagree, say so in writing and hand over all three. The new treasurer cannot fix a gap they cannot see.
Day one, in one place
This is the whole handover. If one line lives only in the outgoing treasurer's head, write it down before the seat changes.
- Which doors have paid, and which balances are still open, by door
- What was charged, what came in, and what the bank shows, with any gap named
- When the next assessment posts, and what it is per door
- Where the vendor agreements, prices, and end dates live
- Who else can open the books, so no password leaves with one person
A seat change, not a file transfer
The dues, the vendor record, and the meeting packet stay with the association. The new officer opens the same books the old one closed, and the old officer's access ends with the seat.
